Popular venues and vendors can reserve dates well over a year in advance, particularly during peak wedding seasons. While every wedding is different, this simple wedding vendor booking timeline will help you know what to prioritize and when.
12–18+ Months Before: Start With the Big Decisions

Book: 12–18+ months before
Your venue and wedding date affect almost everything that follows, so we recommend starting here.
If you have your heart set on a popular Saturday or peak wedding month, start touring venues early. Couples are even booking their dream venue before they’re engaged!
At Windwood, fall and spring Saturdays can book particularly far in advance, while Friday and Sunday dates may offer more flexibility.
Wedding Planner
Book: 12–18 months before
If you want a full-service planner, bring them in early. A great planner can help with budget, vendor selection, design, contracts, and the hundreds of decisions that come next.

Photographer + Videographer
Book: 12–18 months before
Photographers and videographers can only be in one place at a time, which means popular dates disappear quickly.
If photography is one of your priorities, don't wait.
9–12 Months Before: Build Your Core Vendor Team
Caterer
Book: 9–12+ months before
Catering is a major part of both your budget and guest experience. Begin tastings and menu conversations early, particularly for larger weddings.
Band or DJ
Book: 9–12+ months before
Great bands can book extremely early. If entertainment is a major priority, move this closer to the top of your list.
Florist
Book: 9–12 months before
Your florist will help shape the overall look of your ceremony and reception. Bring inspiration, but stay open to seasonal flowers and creative alternatives.
Hair + Makeup
Book: 9–12 months before
Popular beauty teams can fill their calendars quickly, especially if you have a large wedding party.
6–9 Months Before: Add the Details
This is a good time to reserve:
Cake or dessert
Ceremony musicians
Specialty rentals
Transportation
Lighting or production
Photo booth
Live painter or other specialty entertainment
If something is especially important to you, however, book it earlier. There is no advantage to waiting once you've found the right vendor.
4–6 Months Before: Paper + Guest Experience

While popular Saturdays may book well in advance, Friday, Sunday, and weekday weddings can open up wonderful possibilities for both venues and vendors. You may also find unexpected availability due to cancellations or open dates between already-booked weekends.
